To undertake estate management including: day to day liaison with cost centres and tenants, database management, arranging lease plans, property handovers/hand backs, liaising with various departments, monitoring lease compliance, strategic budget planning and appointing consultants for specialist instructions.
To capture and manage all day to day property matters.
First point of contact for occupiers.
Handle day to day emails and telephone calls taking action where necessary.
Maintain comprehensive files for each building as well as electronic notes of correspondence to be held on the property management database.
Site visits with prospective tenants.
Arranging lease plans.
Ensuring Land Registry compliance.
Handover of properties to new tenants.
Providing information to Finance Department, such as lease renewals, meter readings, rent reviews.
Notification of change in occupiers to Luton Borough Council.
Monitoring lease compliance and enforcing lease terms.
Undertaking frequent inspections of properties.
Taking appropriate action if notified by Finance Department of rental arrears e.g. instructing Legal department to write official letter, bailiffs, winding up notice etc.
Handback of properties at the end of the lease, arranging appropriate inspections.
