Job Description

THE OPPORTUNITY:

Macildowie are looking for an Events Coordinator to provide administration assistance to the Sales Account Director and to deal with clients and sub-contractors queries and questions. This is working for a company based in Peterborough.

This is a 12 month contract position working full time hours covering maternity leave.

THE ROLE & YOUR RESPONSIBILITIES:

Administration and secretarial support to Sales Account Director
Taking enquiries from regular clients in Sales Account Director's absence using the system
Dealing with clients and subcontractors queries/questions in Director's absence
Actioning any requests internally and externally
Handling incoming calls and diverting call to relevant person
Receive visitors and ensure their details are entered into the Visitors Book
Issue visitors' badges and retrieve on departure
Preparing and franking mail
Typing of proposals, letters, faxes, acknowledgements and inter-company orders
Get Director's Planning Meeting files out for weekly Planning Meeting and prepare reports
Complete invoice additions/reductions
Keeping computerised diary updated with Director's appointments
Update Contract Number Log and Sales Log from initial entry to completion of contract
Monitoring the return of order agreements and credit application forms and assisting Account Director in monitoring all monies due are paid before we go to site.
Production of invoices and purchase orders
Complete contract costing input information
Copy returned signed agreements to Head Office for issuing of certificates of insurance

EXPERIENCE SOUGHT IN THE SUCCESSFUL CANDIDATE:

To be considered for this position you must have excellent administration skills and have a proven background within administration. You must be competent on all Microsoft Office and be confident liaising with suppliers and customers. You must be a fast learner and have the ability to multi task.
