Macildowie are looking for an experienced Executive Assistant to provide a high level of administrative and confidential secretarial support to the Chief Executive and Principal. You will be required to develop and standardise the quality of administration across the curriculum. You will also be responsible for the document control procedures.
This is a permanent position, 37 hours per week Monday to Friday.
THE ROLE & YOUR RESPONSIBILITIES:
Provide diary management to the Chief Executive and Executive Team.
Arrange and manage meetings, including preparation of relevant papers, booking rooms, refreshments and travel arrangements.
Produce reports, minutes, presentation and correspondence.
Control and assess incoming mail; draft routine and, as appropriate, non-routine responses, ensuring that all correspondence is effectively prioritised.
Provide regular education and training horizon scanning updates to the Chief Executive and Executive Team to ensure they are consistently kept abreast of key changes and initiatives.
Assist with the programming and management of Executive work streams.
Manage the complaints procedure including the management of complaints from receipt through to resolution.
Provide servicing and secretarial support to meetings as requested, ensuring that confidentiality is maintained at all times.
Play a leading role in the development of consistent administrative standards across the curriculum through the development of administrator skills, knowledge and expertise.
Deliver administrative focused training programmes .
Be responsible for the Document Control procedure ensuring compliance.
Line management responsibilities for the Document Control Administrator including day to day management, conducting appraisals, developing their performance etc.
Research and collect data and information from various sources.
Deal with a wide range of enquiries from internal and external sources and provide an effective response.
Manage the learner disciplinary process
Co-ordinate event planning.
Compile data on a regular or ad hoc basis in order to produce a range of information to meet the requirements of internal and external sources.
Work closely with the Chief Executive and Executive team to meet deadlines.
Any other duties commensurate with the grading of the post.
EXPERIENCE SOUGHT IN THE SUCCESSFUL CANDIDATE:
In order to be considered for this position you MUST have experience of working as an Executive Assistant at a senior level with extensive IT skills across the Microsoft Office Packages (Word, Excel, Email and Powerpoint). You must also have the following experience
Management of administrative teams, systems and processes
Excellent organisational and diary management skills with the ability to manage conflicting priorities
Experience of note/minute taking
Excellent communication and interpersonal skills, showing an ability to deal with a wide range of people
Have the ability to work effectively and accurately under pressure and to tight deadlines
A satisfactory Enhanced Disclosure & Barring Service check is required for this post
