Job Description


A fantastic opportunity has arisen to work as an Executive Assistant for a worldwide retail company. You will be responsible for providing a full and comprehensive personal administrative service to the HR Director. To also support the other senior leadership team members when required in line with business priorities.


  • To be the first point of contact for the leaders, ensuring that all colleagues and customers, both inside and outside of the business, are dealt with helpfully and confidently
  • Full accountability and Diary/Inbox Management Managing Director and PA support to other members of the senior leadership team
  • Organising internal and external meetings and conference calls
  • Ability to deal with HR related issues
  • Producing reports on Excel
  • Minute taking
  • Managing and responding to emails and correspondence, on behalf of the Executive Directors
  • Preparing presentations
  • Managing and coordinating high profile site visitors, including arranging room bookings hospitality, and site tours and producing & circulating appropriate agendas
  • Collation of monthly Management Business Review pack
  • Creation and maintenance of appropriate and necessary filing systems
  • Arrange Global travel on a regular basis
  • To proactively build up knowledge of the business and be aware of current issues
  • To respond to queries from other parts of the business, liaising with colleagues at all levels
  • Contributes to the efficient and effective running of the leadership team
  • Has regular 1-1s with leaders and/or attends their team meetings to keep up to date of current and relevant business issues


  • Strong administrative and IT skills with Microsoft Office Suite
  • Proficient in PowerPoint, Word & Excel
  • Proficient in Microsoft Outlook for diary management
  • Flexibility and adaptability
  • Excellent communication skills, both verbal and written
  • Excellent organisation skills and a proven ability to work on own
  • initiative, or as a team when appropriate
  • Attention to detail and the ability to prioritise efficiently
  • Able to manage constantly changing and conflicting demands
  • Ability to maintain at strict confidential approach at all times
