Office Assistant - Perm full time contract Oxford OX2 Salary up to £22,000

Macildowie are currently working with one of our favourite clients, they are nationwide, commercial and growing Law firm and are looking for a helping hand. We are currently supporting them to find an experienced and confident Office Assistant to join their team on a full-time basis. THE ROLE & YOUR RESPONSIBILITIES:

  • Working under the supervision and direction of the Office Manager to oversee the day to day running of the relevant offices in accordance with policies and practices which will include:

  • working with the IT, Marketing, HR, Finance, Data Management, Compliance and Facilities teams to ensure that the needs of the business are met on an ongoing basis
  • setting up of onsite events involving the appropriate arrangement of furniture, organisation of appropriate operational support, organising refreshments and catering through the appropriate channels
  • setting up meeting rooms
  • dealing with incoming post (opening, scanning and distributing) and outgoing post (collating, ensuring Royal Mail is sent on time each day as well as organising couriers via the correct channels)
  • Welcoming visitors and ensuring their comfort during their time within the office
  • Welcoming new starters and ensuring that they are supported in the first weeks of their role
  • Assisting with ongoing document management including archiving, document retrieval and file closures
  • Travelling to other offices (when and if required) to provide holiday cover
  • Liaising with the central Facilities team to ensure that all business-wide services are carried out appropriately such as collection of confidential waste, archiving etc
  • Assisting the Facilities team with weekly building checks
  • Providing basic IT support (under the supervision of the IT team)
  • Preparing office seating plans periodically and arranging moves within the office
  • Reporting maintenance requirements into the central Facilities team
  • Assisting fee earners with administrative type tasks

  • Have excellent written and verbal communication skills
  • Work well in a team and alone
  • Flexibility
  • Be IT literate and proficient in Microsoft Outlook, Word, Excel
