Macildowie are currently recruiting for a PA and Office Manager working for a well established organisation based in Leicestershire. My client has a fantastic opportunity for a PA/Office Manager to join the company as a result of the sustained development. We are searching for a team player who is ambitious, self-motivated, confident, and resilient.
The position will offer the Managing Director direct administrative assistance, as well as periodically to another two Managers within the business. The ideal candidate will tackle every work with vigor and passion and possess a can-do attitude.
This is a full time permanent position.
THE ROLE & YOUR RESPONSIBILITIES:
Provide day-to-day administrative support to the Managing Director.
Basic file management including collating and filing expenses.
Scheduling appointments and organising diary entries.
Setting reminders for meetings and appointments, act as 'gatekeeper' to meeting requests, ensuring adequate time allocation/travel time for meetings.
Manage and book team and client events and conferences by liaising with external vendors where necessary to ensure the smooth running of the event.
Provide e-mail management support including management of meeting requests, organisation and filtering of e-mail inbox.
Produce, print, collate information, organise and ensure the distribution of papers/reports in advance of meetings.
Chase professionals and set reminders on ongoing jobs.
Liaise with agents, customers, and key stakeholders on a regular basis.
Effectively liaise with customers on a regular basis regarding various queries.
Experience with website management and marketing .
Work closely with the Accounts Department to ensure all invoices have been processed in a timely manner.
As well as providing administrative support to the business , you will also provide support to the Managing Director in relation to other companies that are linked to this business.
Team management as well as providing support to two other Managers.
Ensure all new hires are onboarded successfully.
Manage absence and holiday records for the team.
Ad-hoc additional projects as and when required.
EXPERIENCE SOUGHT IN THE SUCCESSFUL CANDIDATE:
2-3 years' experience in a PA role at a senior level
Strong verbal and written communication skills.
Excellent attention to detail.
Confident in building relationships with key stakeholders.
Exceptional organisational skills and people management skills.
Ability to prioritise and multitask efficiently even when working under pressure.
Exceptional interpersonal skills, pro-active and excellent at communicating.
Highest levels of professional and personal integrity.
Experience with marketing the company on various social media platforms.
Proficiency in Microsoft Office programs.
Must hold a valid driver's licence as travel will be necessary.
