Macildowie are currently looking for a Personal Assistant to support the International Directors of a business.
You will provide high-level administrative and organisational support to the International Directors.
This is a temporary role which could potentially could go permanent for the right candidate.
THE ROLE & YOUR RESPONSIBILITIES:
Daily management of the PVC International's workload.
Organising diaries for international work of the three International Directors. This includes arranging internal and external meetings, preparing papers and following up on actions on the behalf the Directors.
Make travel, hotel and visa arrangements as required. Provide travel itineraries for outgoing visits, maintain adequate records and process travel expenses.
Plan for incoming visits for international visitors, including meeting visitors and keeping a record of meetings.
Provide effective secretarial support to several Committees, preparing agendas, producing minutes and ensuring follow-up has been undertaken.
To take ownership of project work as required and to oversee each project's completion and manage the collation, compilation, analysis and editing of information for inclusion in reports
Make independent judgements about urgency and appropriateness of requests for appointments.
Provide financial administration for the Directors, including payment of invoices and processing expenses.
EXPERIENCE SOUGHT IN THE SUCCESSFUL CANDIDATE:
Educated to A-level or equivalent with three to four years relevant work experience in a comparable administrative support role.
Experience of arranging travel both nationally and internationally
Excellent interpersonal and communication skills.
Proven ability to work on own initiative, and to liaise effectively with a broad range of people.
Advanced diary management skills are essential.

Excellent organisational and planning skills, including workflow management
Experience of working with external clients and visitors
Excellent IT skills including Word, Excel, PowerPoint, email and internet use
Excellent analysis and problem solving abilities
Cross-cultural and international awareness
Ability to take accurate and concise records and minutes of meetings
