Macildowie are currently recruiting for a PA supporting a Managing Director and a Financial Director for a business based in Leicester.
This is a part time role on a 1 year contract. 22 - 25 hours per week.
THE ROLE & YOUR RESPONSIBILITIES:
Liaise with legal department regarding any employment matters and queries
Manage the HR function across the across the group, ensuring paperwork is correct and authorised in a timely manner
Deal with customer queries and complaints and ensure they are handled quickly and efficiently
Ensure diary management is coordinated to enable Director to be in the right place at the right time with the right paperwork
Book meetings and arrange all travel and accommodation requirements, ensuring all delegates are aware of timings and venue
Prioritise workload and obtain deadlines from Director to ensure all tasks are dealt with in order of importance.
Produce accurate correspondence.
Screen telephone calls and take accurate telephone messages and ensure they are delivered within a reasonable timescale.
Deal with general phone and email enquiries
Manage expense claims and receipts.
Maintain general department day-to-day administration, such as maintaining holiday and sickness records, maintain stationery supplies, and organise office facilities and equipment.
General secretarial duties, such as photocopying, faxing, filing, producing presentations and reports.
To carry out any other duties as may be reasonably expected in accordance with the position
EXPERIENCE SOUGHT IN THE SUCCESSFUL CANDIDATE:
Experience of working in an executive secretarial capacity at Director level
Experience of HR & Personnel issues
Proven administration and office management skills
Excellent computer skills with proficiency in MS Outlook, Word, Excel and PowerPoint.
Strong communication skills
Highly organised with good planning skills
Well-presented proactive individual with an eye for detail
Ability to use initiative and take ownership of workload
Flexible and able to manage change and moving deadlines
