Job Description

Macildowie are currently recruiting for an Administrative Support Specialist to join a Nottingham Real Estate team. This role primarily involves administrative, financial, and file management support. While previous office-based administration experience is preferred, we welcome candidates who demonstrate a positive attitude, strong organisational skills, and a commitment to delivering exceptional service.

Key Responsibilities:

  • Inputting data into business development databases as required.
  • Managing priorities and workloads to meet deadlines.
  • Updating and maintaining all files, including correct naming and filing in our case management system.
  • Handling file opening and closing processes, including client care documentation.
  • Document production, including audio typing and general document creation.
  • Processing conflict searches on new files for lawyer review.
  • Handling printing, copying, and scanning of documents and post.
  • Verifying data accuracy in client and internal records.
  • Managing online applications, such as Land Registry and Searchflow.
  • Conducting searches and, in due course, completing Stamp Duty Land Tax returns.
  • Assisting with various administrative tasks, including room and taxi bookings, hand deliveries, courier requests, and other ad hoc requests.
  • Answering internal and external calls on behalf of team members.
  • Assisting with bill processing and expense claims as needed.
  • Handling cheque requests and financial transactions.
  • Liaising with lawyers and colleagues to take instructions and provide work progress updates.


Required Technical Skills:

  • Relevant office-based administration experience.
  • Proficiency in document management and case management systems.
  • Strong knowledge of Microsoft Office.
