The Opportunity
We are working with an exciting and growing business that is looking to appoint an experienced Executive Assistant to provide high-level support to its Partnership Director and Client Relations Director.
This is a newly created role and an opportunity to become a key part of the senior leadership support structure. You’ll play a pivotal role in protecting the Directors’ time, keeping the business development and client relations function organised and accountable, and ensuring clients receive a consistently professional, high-quality experience.
This is much more than a traditional EA role. We’re looking for someone who will take ownership, anticipate what is needed and make things happen, rather than simply react to requests.
This is a fantastic opportunity for an experienced EA who wants to be more than an administrator.
You’ll be a trusted partner to two senior Directors, helping them maximise their time, strengthen client relationships and ensure the wider function operates effectively.

As the business has grown, so have the Directors’ diaries, client commitments and internal responsibilities. This role has been created to give them dedicated support, allowing them to focus on selling, developing partnerships and managing key client relationships.
You’ll become the central point of organisation across the function, ensuring actions are followed through, priorities stay on track and nothing gets missed.
What you’ll be doing
Diary & Time Management
- Manage and proactively protect two busy senior Directors’ diaries.
- Prioritise their time around key commercial and strategic activities.
- Anticipate diary pressures and proactively resolve clashes and conflicts.
- Follow up on outstanding actions and commitments.
Executive & Leadership Support
- Track SLT actions and quarterly priorities ("rocks"), ensuring deadlines and ownership are maintained.
- Support the Directors with preparation for key meetings.
- Coordinate D2D and strategic client meetings.
- Support the preparation of board presentations and slides.
- Work closely with the wider Senior Leadership Team to ensure effective communication and cover.
Client Experience
- Take ownership of the end-to-end "white glove" experience for client factory visits.
- Coordinate planning, logistics, communications and on-the-day arrangements.
- Ensure client commitments and follow-up actions are delivered seamlessly.
Inbox & Communication Management
- Manage both Directors’ inboxes, ensuring they remain focused and prioritised.
- Identify key actions, deadlines and opportunities.
- Draft and respond to correspondence where appropriate, maintaining excellent email etiquette.
CRM, Data & Reporting
- Provide day-to-day Salesforce support and management.
- Maintain accurate and up-to-date CRM information.
- Produce regular reporting and insights for the Directors.
- Support internal data projects, including fact-finding and analysis to identify useful commercial insights.
Sales & General Administration
- Provide wider administrative support across the sales and client relations function.
- Coordinate demo van logistics and scheduling.
- Manage and maintain stock of onboard marketing collateral.
- Support documentation and tracking for direct reports, including 1-2-1s and Personal Development Plans.
Ad-hoc & Out-of-Hours Support
- Be comfortable responding to occasional last-minute or out-of-hours requirements from the Directors, such as changes to travel, transport or bookings.
What does success look like?
Within this role, you’ll become the person who makes sure nothing gets missed.
You’ll ensure:
- The Directors’ diaries are protected and focused on their highest-value activities.
- Important emails and actions are identified and followed through.
- Client commitments are delivered and followed up to an exceptionally high standard.
- Salesforce data is accurate, current and meaningful.
- Internal actions and quarterly priorities are tracked without the Directors needing to chase.
- Meetings, board materials and client engagements are organised and prepared for.
- The wider SLT remains aligned and well supported.
Ultimately, you’ll give two senior leaders the confidence that everything is under control.
About you
We’re looking for an experienced EA, Senior PA or Executive Assistant who is comfortable operating at senior level and enjoys working in a fast-paced, commercially focused environment.
You’ll be:
- Highly organised – able to manage multiple senior diaries, inboxes and priorities without things slipping.
- Proactive – you naturally think ahead, anticipate requirements and follow things up before being asked.
- Discreet and professional – trusted to handle confidential client and business information.
- A confident communicator – comfortable dealing with senior stakeholders, clients and colleagues at all levels.
- Commercially aware – able to understand priorities and recognise what needs attention.
- CRM literate – comfortable using Salesforce or a similar CRM system.
- Technically confident – strong Excel and PowerPoint skills and confident using technology and AI tools such as ChatGPT and Claude to improve efficiency and output.
- An excellent writer – with strong attention to detail and high standards of email etiquette.
- An owner – you take responsibility, keep promises and see tasks through to completion.
- Calm under pressure – able to manage changing priorities and last-minute requests without compromising standards.
