Job Description
THE OPPORTUNITY:
Macildowie are currently recruiting for a Business Support executive working for a charity based in Birmingham. We are looking for a highly motivated and organised Business Support Executive to provide vital executive, administrative, and project support to the founder of the charity. You will be instrumental in driving efficiency across the organisation and relinquishing administrative function. Your work will be instrumental across a variety of areas including operations, fundraising, marketing and will be have proven experience of working on and coordinating multiple projects, and ensuring our Founder can focus on strategy, partnerships, and income generation.

This role is permanent fully office based role with full time hours
THE ROLE & YOUR RESPONSIBILITIES:
Executive and Administrative Support
- Manage the Founder's diary, scheduling meetings and prioritising competing demands.
- Respond to emails and correspondence, often acting on behalf of the Founder.
- Book appointments, venues, meetings, and travel arrangements.
- Maintain filing systems and databases, ensuring everything is organised and accessible.
- Support the preparation of presentations, reports, meeting packs, and briefings.
- Uphold the highest standards of confidentiality at all times.
Project and Operational Coordination
- Oversee day-to-day project administration across services including counselling administration, fundraising events, and campaigns.
- Coordinate timelines, actions, and deliverables, ensuring everything runs to plan.
- Track progress and follow up with team members and external partners as needed.
- Contribute to the development of policies, procedures, and internal systems
Fundraising and Event Support
- Provide admin support across a variety of fundraising campaigns and third-party events.
- Liaise with suppliers, venues, supporters, and corporate partners.
- Help coordinate logistics, communications, and post-event reporting.
- Maintain accurate donor and fundraiser records in line with data protection.
Finance and Data Administration
- Update and maintain financial spreadsheets and income logs relevant to specific projects.
- Use advanced Excel functionality to analyse, link, and report on data.
- Provide admin support for invoices, payments, and grant documentation
