    Job Opportunity: Accounts Administrator

    We are seeking a dynamic and focused individual who can calculate and communicate complex billing calculations to internal and external stakeholders. This role is ideal for someone with a strong administrative background who prides themselves on their attention to detail. As an integral part of the billing team, you will be jointly responsible for ensuring invoices and credit notes are raised accurately and distributed in a timely manner.

    Key Responsibilities

    • Review and calculate pro-rata adjustments accurately.
    • Gather, analyse, and correctly interpret information from multiple sources to support credit note generation.
    • Process invoices and credit notes through our service system and Sage.
    • Enable automation by approaching and updating records of paper-based customers.
    • Obtain new purchase orders from existing customers and update records accordingly.
    • Upload invoices to third-party portals.
    • Advise, update, and monitor annual price increases.
    • Build and maintain relationships with other departments within the business.
    • Collaborate with the credit control team and internal account managers to ensure the timely resolution of customer queries.
    • Achieve agreed KPIs to ensure customers receive a quick resolution to all invoicing queries.
    • Raise refund requests where appropriate.
    • Complete periodic reports on invoice and credit note generation.

    Knowledge and Experience

    Essential:

    • A minimum of 1 year's experience within an administrative environment.
    • IT literate with solid experience of Microsoft packages, including Excel.
    • Confident mathematical skills.

    Desirable:

    • Experience with accounting software such as Sage & NetSuite.
    • Experience with CRM systems such as Salesforce.

    Macildowie Finance are working on a brilliant role working for a £140 million turnover logistics business based in North Leicestershire. This business is looking for a solid, experienced finance professional to join their finance team, who can bring a well-rounded management accounts profile ideally with previous line management experience.


    This role will work on a hybrid basis of 2 days in the office and 3 days working from home.


    An important aspect of this role will be taking a step back from the day to day accounts and adopting a strategic viewpoint including some business partnering.


    Some of the responsibilities will include:

    • Management of balance sheet reconciliations.
    • Management of budgets and forecasts for all sites
    • Producing weekly and monthly financial performance reports
    • Involved and supporting senior management in strategic contract decisions
    • Revenue analysis and identification on any process gaps.
    • Management of a small team including an Assistant Management Accountant

    You will be/have:

    • Studying towards either CIMA or ACCA qualification, or Qualified By Experience

    This is a 3 month temporary role.

    They are looking for someone who can get stuck in from day one, and hit the ground running.

    Office based Monday - Friday 8:30 - 4:30 or 9:00 - 5:00

    The salary for this role is up to £13ph dependent on experience.

    The ideal candidate will have experience within a finance or billing administration role and know their way around an invoice.

    RESPONSIBILITIES:

    • Importing large volumes of data into sage, checking and reconciling
    • Aligning acquisition customers into our invoicing schedule by calculating and raising credit notes/ invoices for overcharges and shortfalls.
    • Generating invoices and credit notes
    • Uploading files to our mailing house for posting
    • Sending copy contracts, copy invoices and credit notes
    • Uploading documents to customer portals where necessary
    • General administration

    EXPERIENCE SOUGHT IN THE SUCCESSFUL CANDIDATE:

    • Proven experience in a billing or finance admin role
    • Pro-active and reliable
    • Ability to communicate at all levels of the organisation
    • Excellent organisational skills
    • Good attention to detail
    • Ability to work to tight timescales
    • Experience using Sage

    The Role & Your Responsibilities:

    • Building and maintaining relationships with existing and new customers, ensuring they always provide exceptional customer service.
    • Obtaining commitments to pay through telephone calls and email communication to customers.
    • Allocating credit notes and payments in a timely manner.
    • Completing reporting tasks/activities in Microsoft Excel.
    • Working in collaboration with the Customer Service teams and Account Managers across the business to ensure the timely resolution of customer queries.
    • Completing reviews of existing customers and escalating any doubtful debts to our credit and risk administrator.
    • Providing periodic reports on aged debt and customer interaction to management.
    • Maintaining customer records to ensure details are relevant and up to date.

    Experience Sought In The Successful Candidate:

    • A minimum of 1 year's experience within a credit control or Accounts environment.
    • IT literate
    • Confident Telephone manner
    • Experience with Sage
