Job Description

My client a well known charity in Derby is looking to recruit a PA to join their bsuiness ona permanent basis. This role is part time working 26 hours.

Principal accountabilities / responsibilities:

  • To provide efficient, professional and effective PA and administrative services and prioritise incoming enquiries and communications and, where appropriate, responding directly on behalf of the individual or drafting replies for review, using their own judgement and knowing when to consult with others.
  • Act as a gatekeeper and point of contact for internal and external communications.
  • Proactively manage the diary including scheduling in both reoccurring and ad-hoc meetings and long term tasks, sermon writing and preparation time, resolving diary conflicts and ensuring they are fully prepared for all engagements ahead of time.
  • Organise and prepare for meetings, including agenda setting, taking and distributing minutes, and following up on relevant action items. These meetings include, but are not limited to: Senior Management Team, Chapter, Finance Committee, Nominations Committee and Audit and Risk Committee.
  • Ensure that they well prepared for a wide range of events, including undertaking research, preparing briefing notes and drafting written speeches and prayers for internal and external events.
  • Arrange travel including booking trains, preparing itineraries and claiming the relevant expenses.
  • Create, edit, manage and distribute documents, presentations and reports with a high degree of professionalism and accuracy, using the branding guidelines and the SharePoint filing system.
  • Handle sensitive information and situations with the utmost discretion, integrity and confidentiality.
  • Maintain administrative systems electronically, including paper filing in line with the requirements of GDPR.

The successful candidate will need the following:

  • A professional qualification or equivalent demonstratable experience either as a Personal Assistant or comparable role (such as Office Manager).
  • Experience of effectively communicating with internal and external stakeholders.
  • Highly proficient use of Microsoft Word, Excel, and Outlook. Proven ability to use databases, including a CRM system.
  • Comprehensive diary management.
  • Experience of working in a public facing environment.
  • Creating, editing and managing documents, briefings, presentations and reports to a high standard.
  • Organising and preparing for internal and external meetings, including setting agendas and taking minutes.

Benefits of the role include:

  • £27,295 per annum pro rata working 26 hours a week.
  • An employer pension contribution of up to 9% is made (depending on age), with an employee contribution of 2.4%.
  • 26 hours during the core working week. Additional hours may be required to fulfil the core responsibilities; time off in lieu will be given. Must be willing to work flexibly, including working outside of normal office hours, when required.
  • 25 days holiday per year pro rata, plus usual bank holidays.
