Job Title - Legal Finance & Secretarial Assistant
Location - Nottingham City Centre
Pay rate - £14 to £15 per hour
Type - Permanent, Part Time (Circa 21 Hours Per Week, Office-Based)
We are currently seeking a highly organised and proactive Legal Finance & Secretarial Assistant to join a well-respected legal firm based in Nottingham City Centre. This part-time, office-based role offers a unique opportunity to support both the Practice Manager and PA to the Partners in the day-to-day operations of the firm, with a focus on secretarial and administrative support, while also assisting with financial processes.
The ideal candidate will be professional, approachable, and confident in representing the firm both in person and over the phone. You will play a key role in supporting fee earners and consultants with a wide variety of administrative tasks to help ensure the smooth running of the practice.
Responsibilities:
- Provide administrative support to the Practice Manager and PA to the Partners
- Welcome clients and visitors, providing a professional and friendly first point of contact
- Answer and direct incoming calls to the appropriate team members
- Assist consultant fee earners with file opening, document processing, and monitoring
- Provide typing support to the PA, particularly during periods of absence
- Open, scan, and distribute incoming mail; post outgoing items
- Monitor and maintain stationery stock levels and place orders as needed
- Support with gathering statistics for firm reporting, insurance renewals, and marketing materials
- Process supplier invoices and disbursement invoices (e.g. Land Registry, search fees)
- Record receipts and payments in accordance with Solicitors Accounts Rules
- Assist with bank reconciliations, client to office transfers, and journal postings
- Support the preparation of firm performance reports and assist with month-end tasks
- Liaise with fee earners and clients regarding finance queries
Requirements:
- Previous experience in a legal or professional services environment is desirable
- Understanding of Solicitors Accounts Rules is a distinct advantage
- Confident, professional, and friendly communication skills
- Strong organisational skills and attention to detail
- Ability to manage multiple administrative tasks efficiently
- Competent with Microsoft Office (particularly Word and Excel)
- Flexible and proactive with a can-do attitude
- Comfortable working as part of a close-knit, supportive team
