Property Manager Administrator
Job Description
Job Summary:
We are seeking a highly organised and proactive Property Manager Administrator to support our property management team. The ideal candidate will play a key role in ensuring the smooth day-to-day administration of residential and/or commercial properties, assisting with tenancy management, maintenance coordination, and financial record-keeping.
Key Responsibilities:
Provide administrative support to the Property Manager(s) in managing a portfolio of properties
Serve as the first point of contact for tenants, landlords, contractors, and service providers
Schedule and coordinate property inspections, repairs, and maintenance work
Prepare tenancy agreements, renewals, and notices (e.g., rent increases, lease terminations)
Maintain up-to-date property files and databases (e.g., lease records, keys, compliance documents)
Assist in rent collection, invoice processing, and reconciliations
Monitor compliance with legal and regulatory obligations (e.g., gas safety, fire safety, EPCs)
Handle correspondence, emails, and phone calls in a professional and timely manner
Support with marketing and letting administration as required
Prepare reports and documentation for landlords and management
Required Skills & Qualifications:
Proven experience in an administrative or property management support role
Strong organisational and time-management skills
Excellent communication and interpersonal abilities
High level of accuracy and attention to detail
Ability to multitask and prioritise workloads under pressure
Proficiency in Microsoft Office (Word, Excel, Outlook); experience with property management software is a plus
Knowledge of tenancy legislation and property management processes is advantageous
A positive, professional attitude and a proactive approach to problem-solving
Education & Experience:
Minimum: GCSEs (or equivalent) in English and Math
Preferred: NVQ/SVQ in Business Administration or similar; ARLA qualification is a bonus
1-2 years of experience in property, lettings, or administrative support
Working Conditions:
Office-based with occasional travel to sites/properties (if required)
Standard office hours, with flexibility during busy periods
