Are you the person who naturally spots what needs doing, works out how to do it and gets it over the line?
We’re recruiting for a highly organised, proactive and resourceful Project & Operations Officer to join an organisation going through a significant period of change.
This isn’t a traditional Project Manager role. Instead, we’re looking for a genuine 'fixer' – someone who is comfortable being handed a request, getting their head around it quickly, finding the information or people they need and making sure it actually gets done.
It’s a varied role where no two days are likely to look quite the same!
What will you be doing?
A significant part of your initial focus will be supporting a major organisational change programme, helping to coordinate a wide variety of information requests and ensuring deadlines and actions remain on track.
You’ll need to be confident navigating existing information, understanding what’s already available and identifying any gaps. That could mean searching previous submissions and SharePoint records, approaching stakeholders for additional information and then pulling everything together into a clear, logical and usable format.
Alongside this, you’ll provide broader project, administrative and organisational support to ensure the wider function continues to run smoothly.
Responsibilities could include:
- Coordinating meetings, Teams calls, documentation and papers
- Creating and maintaining trackers and keeping actions on schedule
- Managing shared mailboxes and incoming requests
- Gathering, reviewing and presenting information from multiple sources
- Navigating SharePoint and existing records to locate information
- Chasing stakeholders for actions, updates and outstanding information
- Supporting responses to enquiries and complaints
- Liaising with internal teams, suppliers and external stakeholders
- Supporting purchasing, procurement and wider operational requirements
- Proactively identifying deadlines, issues and anything that needs escalating
- Anticipating what’s coming next rather than waiting to be asked
Who are we looking for?
Your background could be in project support, business support, operations, executive support or senior administration. We’re much more interested in how you work than what your current job title happens to be.
You’ll be naturally organised, comfortable juggling multiple priorities and confident dealing with stakeholders at all levels.
You won’t be precious about what does or doesn’t technically sit within your remit. You’ll be happy rolling your sleeves up, working out what needs to happen and taking ownership of getting it done.
You’ll ideally bring:
- Strong organisational and coordination skills
- Excellent written communication and the ability to make complex information clear and easy to understand
- Confidence using Microsoft Office and SharePoint
- The ability to work autonomously and use your own judgement
- A proactive approach – you’ll chase rather than wait!
- Strong stakeholder management skills
- Excellent attention to detail
- The ability to juggle changing and competing priorities
- A pragmatic, flexible and hands-on approach
