Full-time | Permanent

We are currently recruiting for an Executive Support Officer to join a well-established organisation and provide high-quality administrative and executive support across a busy Executive Services function.

This is an excellent opportunity for an experienced administrator, PA or executive support professional who enjoys working in a varied role, managing multiple priorities and supporting senior stakeholders in a professional and confidential environment.

You will play a key role in ensuring the smooth running of executive-level activities, providing proactive administrative support and helping to coordinate meetings, events, projects and business processes.

Key Responsibilities

  • Provide a professional, confidential and effective administrative service, acting as a first point of contact for internal and external queries.
  • Provide comprehensive administrative support including diary management, meeting coordination, document management and general business administration.
  • Support senior-level meetings, including preparing agendas and papers, taking accurate and professional minutes, recording actions and ensuring these are circulated and followed up promptly.
  • Coordinate and collate information and data to support management reporting and business requirements.
  • Organise travel arrangements, itineraries, conferences and associated logistics.
  • Support the coordination and successful delivery of key projects, events and organisational activities.
  • Deal professionally with visitors and external stakeholders, ensuring they are welcomed and directed appropriately.
  • Handle confidential and sensitive information with discretion and in accordance with data protection requirements.
  • Contribute ideas and support continuous improvement across administrative processes and ways of working.
  • Work collaboratively with colleagues across the organisation and provide flexible support in line with business requirements.
  • Occasionally provide support outside of standard working hours, including evenings or weekends, where required.

About You

We are looking for an organised, proactive and highly professional individual who is confident working in a fast-paced environment and supporting colleagues at a range of levels.

You will ideally have:

  • Previous experience working in an administrative, business support, PA or executive support environment.
  • Experience of supporting meetings and producing accurate, high-quality minutes and actions.
  • Experience of handling confidential or sensitive information with discretion.
  • Strong organisational and time-management skills, with the ability to manage competing priorities and meet deadlines.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accurate proofreading skills.
  • The confidence to build effective relationships with colleagues, senior stakeholders and external contacts.
  • The ability to work independently, use initiative and make appropriate operational decisions.
  • Excellent IT skills, including Microsoft Office and administrative business systems.
  • A good understanding of confidentiality and data protection principles.
  • A flexible and adaptable approach, with a willingness to support occasional out-of-hours activity and travel between sites where required.

A-level education, or equivalent work-based experience, is required, alongside GCSEs in Maths and English at Grade C or above (or equivalent).

Experience within a higher or further education, public sector, professional services or similarly complex organisation would be advantageous, as would experience of working with senior leadership teams.
