Job Description
My client is looking for a highly organised, proactive, and resilient Executive PA to provide first-class support to the CEO, Exec team, and Senior Leadership Team. This role is central to ensuring the smooth running of executive operations, managing complex diaries, coordinating meetings and packs, handling correspondence, and maintaining the highest level of professionalism in both internal and external interactions.
Crucially, the PA must develop a strong understanding of how our business operates and the issues faced by our customers, so they can step in to support complaint handling, correspondence, and other sensitive matters as required. As the business is private equity backed, the ability to navigate fast-paced, change-driven environments and experience in supporting leadership within a PE-backed organisation will be highly beneficial.
Candidate Profile
This role would suit someone with extensive PA or EA experience supporting senior leaders in a fast-paced environment. The ideal candidate will thrive on balancing day-to-day administration with project involvement and governance responsibilities. They will be proactive, self-motivated, and enjoy being the go-to person who ensures the executive team operates smoothly. They should be curious about how the business works, able to grasp operational challenges, and confident in dealing with both internal stakeholders and customers.
Key Responsibilities
- Manage complex diaries across the CEO, Exec, and SLT.
- Respond promptly to ad-hoc CEO requests.
- Oversee executive inboxes, flagging and tracking priorities.
- Organise meetings end-to-end: scheduling, logistics, documentation, and follow-ups.
- Prepare and circulate executive packs (Board, SLT, committees, internal comms).
- Coordinate quarterly employee briefings and off-site sessions.
- Maintain annual meeting cycles aligned with governance timelines.
- Liaise with Board members on business matters.
- Support Board/Exec meetings: tech setup, minutes, travel, and follow-ups.
- Manage expenses and credit card reconciliations.
- Coordinate governance surveys and reports (GDPR, ESG, Carbon Footprint).
- Book travel and accommodation for Exec and SLT.
- Maintain accommodation trackers.
- Organise conferences, site visits, and exec-level events.
- Draft professional correspondence with lawyers, customers, and stakeholders.
- Handle complaints discreetly, maintaining logs and drafting responses.
- Create customer letters as part of the complaints process.
- Manage visitor processes (parking, PCNs, guest coordination).
- Liaise with Marina site manager on office maintenance and cleaning.

- Experienced in governance and meeting pack preparation.
- Financially literate (expenses, POs, supplier onboarding).
- Discreet and trustworthy with confidential matters.
- Tech-savvy (SharePoint, Microsoft Office, meeting platforms).
- Proactive problem-solver with ownership mindset.
The role is predominately office based and paying up to £45,000.
