Job Description

My client a manufacturing business in Stoke on Trent is looking to recruit a technical sales administrator to join their business on a permanent basis. The role is office based working Monday to Friday 37.5 hours

Key Duties:

  • Process Sales Orders: Accurately receive and enter complex sales orders, often involving custom configurations, technical specifications, and engineering documentation, into the ERP/CRM system.
  • Technical Order Scrutiny: Critically review and validate incoming orders against technical drawings, schematics, or client specifications to ensure the correct materials, configurations, and compliance requirements are captured before production is initiated.
  • Liaise with Production: Generate and issue Works Orders to the manufacturing floor, ensuring all associated technical documentation, Bills of Materials (BOMs), and quality checks are clearly linked to the production ticket based on sales demand and agreed-upon delivery dates.
  • Order Verification & Compliance: Scrutinise orders for accuracy, checking pricing, terms, product codes, quantities, and ensuring all required technical specifications and regulatory notes are correctly documented.
  • Monitor Lead Times and Customer Updates: Proactively monitor the production schedule and liaise with the Operations/Production Planning team to confirm or adjust delivery dates, communicating any technical constraints or schedule changes clearly to the Sales team/Account Managers.
  • Data Gathering for Technical Pricing: Collect and organise necessary data for the Sales and Estimating Teams, including current raw material costs, validated labor rates (including specialized labor factors), production history for non-standard runs, and supplier price lists for specialized components.
  • Prepare Technical Quotes: Assist in the administrative preparation of customer quotations, ensuring all cost components, technical assumptions, warranties, and associated compliance documentation references are accurately captured and professionally formatted for client presentation.
  • Track Submissions and Technical Follow-up: Maintain a meticulous log of all quotes generated, tracking their status, expiry dates, and follow-up actions. Flag quotes that require technical clarification or re-estimation due to design changes.
  • Pricing Documentation Maintenance: Update and maintain standard technical pricing documentation, modular configurations, and service level agreements (SLAs) for the sales team's ready reference.

The successful candidate will need the following:

  • Proven Experience: Proven experience in a Sales Administration, Technical Support, or high-level Customer Service role, ideally within a technical manufacturing or complex B2B solutions environment.
  • Technical Administration Background: Demonstrated experience in handling technical documentation, reading specifications/blueprints, or managing product configurations within an order-entry context.
  • Systems Proficiency: Intermediate to advanced proficiency in ERP/CRM systems (e.g., SAP, Oracle, Dynamics) and Microsoft Office Suite, especially Excel (for advanced data manipulation, cost modelling, and pivot table analysis).
  • Numerate: Strong numerical aptitude and comfort working with costing structures, margin analysis, and complex spreadsheet models.
  • Technical Communication: Excellent verbal and written communication skills with the ability to translate complex technical requirements and costing details into clear, actionable information for Sales, Production, and Customers.
  • Attention to Detail: Exceptional focus on accuracy when processing figures, product codes, and interpreting technical drawings/specifications.
  • Interdepartmental Coordination: Proven ability to work effectively and collaboratively with Engineering, Production, Logistics, and Accounts departments, acting as the critical link between Sales requests and technical feasibility.
  • Problem-Solving: Proactive approach to identifying and resolving bottlenecks stemming from unclear specifications, material availability conflicts, or non-standard requests in the order-to-delivery and quoting processes.
